Privacy

Privacy is the product.

Greenroom is a free practice tool for college faculty and the instrument for an optional research study. It's built and run by James Jarc as an individual, not by a company, and not by or on behalf of any college or employer. On this page, “we” means the developer (James Jarc) and, where the study is concerned, the investigator and the study's second reader. This page explains what Greenroom collects, where it goes, and what you can do about it. Questions go to support@greenroompd.com.

The short version

  • Your practice is private. Your rehearsals are encrypted before they're saved, and no one reads them. The exact meaning of that is below.
  • We don't want student information. Your students never use Greenroom. Please describe them by role (“a student”), never by name.
  • Nothing is reported to your institution. Sharing your own growth, for example with a Practice Record, is always your choice.
  • We don't sell your data, and we don't show ads.
  • You can download your data or delete your account at any time from your Account page.

What we collect

  • Account: your email address and password (the password is stored only as a secure hash). Optionally, a profile photo.
  • Your teaching profile: what you tell us during intake, such as your discipline, your students, your teaching situation, and your goals. Every field is optional.
  • Rehearsals: the conversation, the coaching on it, second opinions, and any term reflection, all encrypted (see below).
  • Growth signals: for each rehearsal, the scenario, the difficulty and channel you chose, how ready you felt before and after, which of the five coaching dimensions were strengths or growth edges, and the one-line practice drill. These are stored without encryption so your growth view can chart them.
  • Things you write for others to see: scenarios you build, and the optional reflection on a Practice Record. Scenarios you build have names, places, and contact details removed by an automated pass before they're stored. The reflection has emails, phone numbers, ID numbers, and links removed automatically; names aren't, so please leave them out.
  • Reminder settings, if you set a term schedule, and a record of which reminders were sent.
  • Technical data: our hosting providers keep standard server logs, including IP addresses, for security and troubleshooting. To prevent abuse, we count how often each account uses the AI features; those counts expire within two days.

There is no payment of any kind, so we never handle billing or card details. We don't collect precise location.

Your most sensitive data

Your rehearsal conversations, the coaching on them, second opinions, and term reflections are encrypted in your browser before they're saved, so what sits in our database is scrambled text.

We want to be exact about what that does and doesn't mean. The key that unlocks your rehearsals is held on the server that runs Greenroom, which is what lets you open your history on any device you sign in from. That means this is not end-to-end encryption: someone with full access to the systems that run Greenroom could technically decrypt them. No one reads them, and there is no tool for browsing them. The only way anyone on the study sees one of your conversations is if you choose to share that single conversation with the research study.

Rehearsal conversations aren't scrubbed for names the way the things you write for others are, because they're encrypted instead. The practice partner and the intake steer you toward roles rather than names, and we ask you not to type real student names.

If you're in the study and share a conversation, emails, phone numbers, ID numbers, and links are removed automatically. Names aren't, so you confirm there are none before it's shared. One or two readers and, for comparison, an AI model read it to check how the AI behaved and, in general terms, how faculty approach these conversations. It's never scored or reported individually.

Who we share it with

We share data only with the services that run Greenroom, only for that purpose, and never for their own advertising:

  • Anthropic (the AI): to generate the practice partner's replies, the coaching, the term reflection, the intake summary, and the wording of reminder emails, and to remove identifying details from what you write for others, the text is sent to Anthropic. Anthropic doesn't use it to train its models and deletes it within 30 days, except content flagged under its usage policy (kept up to two years, and its safety scores up to seven) and anything it must keep by law. If you're in the study, a conversation you share and your open-ended answers are also sent to Anthropic, with no name or study code attached, for a comparison analysis.
  • Supabase (database, sign-in, file storage) and Vercel (hosting), both in the United States.
  • Resend (email), for sign-in, password reset, reminders, and study messages.
  • Upstash (usage limits) and Inngest (scheduled jobs such as reminders).
  • Sentry (error reports). A report records what failed and where. It never includes your conversations, what you typed, or your account details.
  • Cloudflare Turnstile, which checks that sign-in and sign-up come from a person.
  • Google Analytics, on the public pages only (see below).

We may also disclose information if the law requires it. If that ever happens, we'll tell you unless we're legally barred from doing so.

No institutional reporting

Greenroom does not integrate with, or report to, any college or employer. There are no administrator dashboards and no usage data shared with institutions, not even aggregate counts. The only thing that ever reaches someone else is a report you choose to share, such as a Practice Record. Anyone with its verification link can confirm it's authentic and see what it contains, and nothing else about your account.

Cookies & analytics

We use Google Analytics on our public pages (like this one) to see how the site is used. It never runs inside the app: not in your studio, your rehearsals, the study, or sign-in. It's on by default on the public pages, you can opt out anytime from the banner or the “Analytics settings” link in the footer, and we honor the “Do Not Track” and Global Privacy Control browser signals. Signing in uses a cookie to keep you signed in, and your analytics choice is remembered in your browser.

Emails

We send the emails your account needs (confirming your address, resetting your password). If you set a term schedule, we send occasional practice reminders, and you can turn them off or unsubscribe from any reminder. If you join the study, we email you when your follow-up questions open (about twelve weeks after you join) and at most once more two weeks later; if the study period closes before your twelve weeks are up, the first of those comes then. When the study period closes you may also get one invitation to an optional last set. Pausing reminders on the Reminders page stops these too.

How long we keep it

We keep your data while your account exists. When you delete your account, it's removed right away, along with your files. Copies can remain in our database provider's routine backups for up to seven days before those backups expire. Study data follows the study rules below.

Your choices and rights

You can download your data or delete your account at any time from your Account page. To correct something you can't edit yourself, to ask what we hold, or to withdraw a consent, email support@greenroompd.com and we'll respond within 30 days. Depending on where you live, you may have additional rights under laws like the GDPR or state privacy laws, and we'll honor those requests the same way.

Research is separate and optional

You can use every part of Greenroom without joining the study, now and later, and nothing about the tool changes either way. Joining is a separate, explicit choice on its own page, with the full consent text in plain language, and it cannot happen by accident.

If you do join, your study records carry a random code rather than your name. Your encrypted rehearsals and reflections are never part of the study unless you choose to share a single conversation. Nothing is ever published about a group smaller than ten, and no college is told anything about you. You can withdraw at any time from the study page, with no explanation needed, which stops collection immediately and deletes the study data we hold from you, apart from anything already analyzed and published, which cannot honestly be pulled back out. Withdrawing does not touch your account or your own practice history.

Adults only

Greenroom is for people 18 and older. We don't knowingly collect information from anyone younger, and we'll delete it if we learn we have.

Security

Data is encrypted in transit and at rest, every account's data is walled off from every other account's in the database, and the admin area requires two-step sign-in. No system is perfect. If a breach ever affects your information, we'll tell you promptly.

Changes to this policy

If we change how we handle your data, we'll update this page and the date at the top. If a change is significant, we'll email you before it takes effect.

Not professional advice

Greenroom's practice partners are AI, not real people, and its coaching is for professional development only. It isn't medical, psychological, legal, or crisis-intervention advice.

We use Google Analytics to see how the site is used. We never track your practice, and you can opt out anytime. Privacy.
